Insurance Plan Coverage
Most insurance plans are accepted. However, it is always best to check with your specific insurance to verify the provider is a part of your group plan and within your network. There are a few insurance plans that we are NOT contracted with at this time including Tufts Medicare Preferred (as a primary insurance) and Mass Health Safety Net/Free Care. We ask that you familiarize yourself with your health insurance policy, especially regarding referrals to specialists, emergency care and preventive care.
Co-payments and Registration
All co-payments are due at the time of service. All patients are required to present their insurance card at every visit. At each visit, all of your information will be confirmed, and every six months, you will be required to update your complete registration information. This is to help us ensure we have the most recent and updated demographic and insurance information, as well as prevent you from getting any unnecessary bills. If you are not prepared to pay your co-pay at the time of the visit, we will have to ask that you reschedule the appointment. For your convenience, payment may be made in cash, check (payable to Medical Care of Boston), or credit card (Visa, MasterCard and American Express).
We attempt to schedule appointments at your convenience and when time is available. The demands for same-day appointments can be high at times, so please call as early as possible for the best selection of appointment times. If you are late by 15 minutes or more, we may have to reschedule your appointment. All patients are seen by scheduled appointment ONLY. We are unable to accommodate walk-in appointments.
If you are a new patient, we ask that you arrive 15 minutes early for your first appointment in order to complete your appropriate paperwork. We also ask that you come prepared with your complete medical records and an up-to-date list of your medications.
If you have a question regarding a bill that you have received please call the billing department directly. Their phone number will be listed on the bill. Please note that our practice is a "split bill clinic" and our billing is slightly different from a private practice.
Canceling or Rescheduling Appointments
If you are unable to keep an appointment, kindly give us a minimum of
48 hours notice. If you have an appointment that you do not keep, we will discuss the matter. If there is a pattern of consistent non-adherence to appointment times, we will work with you to find another provider that better meets your needs. We will be unable to accommodate a second appointment to any new patient who does not keep their initial appointment and does not call to cancel.
New Prescriptions and Refills
If you expect your doctor may need to prescribe a medication for you, or you need an existing prescription refilled, please call
during routine office hours. We ask that you call during regular business hours so we are able to check your medical record, as this is an important safety issue. We ask that you allow at least two to three business days to process your prescription request. We have established a prescription line for your convenience. You may call
(617) 975-6216 to leave your prescription request.
When calling the prescription line, the following information is required: your social security number or BIDMC medical record number, full name, phone number, medication name, dose, pharmacy name, pharmacy phone number and your address. Please indicate on the message if the prescription should be mailed to your home for mail away service or if you would like it sent to a pharmacy. Also it is helpful if you speak clearly and slowly. We will only contact you if further information is needed. Multiple calls will delay our processing time.
In most cases we are able to e-mail prescriptions directly to your pharmacy, including some mail order pharmacies. For local pharmacies, please call at least one week before your routine prescription needs to be refilled. For mail order pharmacies please notify us at least two weeks in advance. You may also request your prescriptions through
if you are a registered user. If you are not a register user please go to
Messages for your doctor are addressed based on the urgency of the medical situation. Most non-urgent calls are returned within 24 to 48 hours, often at the end of the day. Urgent calls are evaluated by a nurse who will alert your doctor, or the doctor on call, when indicated.
We try to see every patient who needs an urgent evaluation within 24 hours. If an appointment is not available with your primary care provider, you may be seen by another physician or a nurse practitioner.
Your physician will inform you of your lab results by mail, usually within 4 weeks. You will be contacted by phone if the test results warrant immediate action.
When your primary care doctor determines that you need to see a specialist, you will be referred to a Beth Israel Deaconess specialist. Many specialists and services are available at the Chelsea facility, but on occasion you may need to see a doctor at the Beth Israel Deaconess Medical Center in Boston. Shuttle service to the hospital from the Chelsea facility is available several times throughout the day, on weekdays. If you schedule an appointment with a specialist, you must notify our referral coordinator. Call
617-975-6217 (direct line) or the practice phone number (
617-975-6200) and follow the prompts for referrals. Please leave all of the requested information and allow at least 3 business days for your referral to be processed.
Medical Record Requests
You may receive a copy of your medical records at any time with no charge. We are required to have your request for your medical records in writing. For your convenience, we have a medical records release form you may use for requesting your information. Please allow at least 7 to 10 business to process the request. Also, please note per hospital guidelines, we are able to release medical records relating to the care you received from our providers. Records from other providers, including specialists, physical therapy, etc., will need to be requested directly from that specific provider.
cannot be released to a third party unless they have been requested in writing and the appropriate release has been signed by the patient. There are circumstances where medical record information may be released upon receipt of a court order.
It is important patients understand their rights. If you would like more information, please ask us for the Medical Record Release policy.
